E-Workbook is Here — v2.9.2

We have been holding on to this release for quite some time, trying out the new E-Workbook in seminars throughout the country. Tweaking, building and refining what we think is an excellent add-on to Velvet Singer.

After automatically downloading the newest update, v2.9.2, you can open up the Workbook add-on from the Main Menu.

This is an entirely separate file (the first add-on that we have released) and it is a very feature rich application of its own. We may even begin to sell it as a separate product. For our current customers? Free!

From the E-Workbook menu, you can open up the workbook for either of our Seminars:

- Seminar A: Organization / Goal Setting
- Seminar B: Business Plan

There is tons of information and TLC poured into both, but we think the Business Plan workbook functions really well as a stand-alone application.

The Bottom Line: Persuasion and Communication

The Workbooks walk you through everything you need to know, helping you generate rich and persuasive prose. For example, rather than trying to describe your values from scratch, you can first pick from a list of 39 common values.

E-mail Reports

From the Business Plan menu you can generate two types of reports, opening them in your web browser to print or preparing an HTML email to your family, friends, teachers and supporters. You can also Resume your workbook from the last page you edited, Backup your data, Submit your data to our compilation project or Clear all of your previous responses.

The E-Mail report allows you to send a beautiful and colorful HTML report directly from the system with no setup required.

Customize your message to request feedback and direction, or make an appeal for direct financial report. The more you involve your stakeholders, the more they will support you.

Business Plans

Your business plan will arrive with professional and colorful styling. It will contain copious amounts of valuable information, yet it will also be well organized and readable.

Velvet Singer business plans contain the following information:

  • Entrepreneurship strengths / weaknesses

Rebuilt and optimized to show you only the best information without any setup required on your part, the trends module is completely prefabricated and ready-made. Simply navigate to the Trends module from the main menu, and the system will compile your data. Click around, learn and share.

From each Trend record, you can see composite information describing your progress. For example, this singer has been doing about coachings per month.

View your profitability over the years or show the same data broken out into months. You can also drill down into income or expenses.

Trend reports gather high level data so you can analyze them together or share them with your professional contacts.

Version 2.8 — Personalized and Branded

This is arguably our biggest release to date! It is so big, we almost thought to call it 3.0, but we have some even bigger things planned so we couldn’t quite go there yet.

Branded Reports

We are thrilled to release this powerful feature: branded reports. Currently this branding applies to the Audition “repertoire selections” report — so when you print your rep list for your next audition, you can make it look just like your resume.

You can customize the font, size, bold, italics, add a headshot or add your own customized header logo image.

Navigate to the Main Menu, Settings, “Edit Branding and Resume Information”.

Now that we have this, think of what else might be on the horizon! If you can brand your rep list, why not use Velvet Singer to create your resume? More to come on that.

“Favorite” Reports

You can easily flag any report as a “favorite”, and even personalize the name of the report. We have started to build so many reports, that it is finally becoming necessary to be able to sift through and get to just what you need.

You will notice that we started you off with a few of our favorites. These reports are likely to be useful to you as well, so click through and to get a sense of what they each provide insight into.

Dashboard Menu and Totals

The top menu now has another menu item called “Dashboard.” We thought of calling it “Quick Menu” or “Quick Find” because we are convinced this feature will really help you do things faster.

Also, the Dashboard Menu (ie. the new thing) as well as the Dashboard layout, now display total record counts (including total dollar amounts for the Finance module). This is hugely powerful! That means that you can get a quick snapshot of how much you have been singing, how much money you have earned from your church job, or where your Auditions stand, just by looking up at this menu drop-down.

This should make reporting more powerful too:
1) Select your report
2) Use the Dashboard Menu to limit the records

Simple as that!

Three Contact Categories

The Contacts module now has a few new powerful ways you can group your contacts, making it more powerful than ever to invest the time in documenting your network.

Using the Category field, you can set which of the three primary ways you relate to this contact:

  • Professionally,
  • for Artistic Development, or
  • Personally.

Your contact might be a “VIP Contact” (in the Type field), but you primarily rely on them for your artistic development (coach or teacher) not for getting a job. Now you can more accurately record the nature of your relationship, and it will all be sitting there waiting for you when you need it.

Also, our professional contacts often have multiple jobs, so now you can mark up to three as this example shows. The information will appear on all reports and based on any Quick Find you run.

IPA Source

www.ipasource.com is a fantastic resource for singers, and now you can access it directly from within Velvet Singer. You may login to your IPA Source account or purchase songs “a-la-carte.”

From any Repertoire record, simply navigate to the Web Page layout, and toggle to the IPA Source option. That will search to see if your aria or song is among the thousands that IPA Source translates.

Print to PDF for Portability

Ever wonder what PDF stands for? Portable Document Format. When you email or upload a text document, consider it the only option.

Do you ever send your resume as a Word document? If you do, then the people that read your resume may be reading something entirely garbled and crowded. Your “.doc” will appear and print differently based on which version of MS Word is installed. So you may be singing a perfectly polished audition while the panel is staring at a sloppy resume.

Before you send any document (resume, bio, reviews, homework assignments), be sure to first save them as PDF.

Mac

We are thrilled that printing reports from Velvet Singer directly to PDF is now easier than ever.

If you are on a Mac, then you have probably already seen that from any print dialog, you can chose to “Save As PDF”. The PDF print driver comes installed with the Mac operating system and everything just works.

Windows — Install Print Driver

Now it looks like there are several excellent PDF print drivers available on the Windows side that will make things easy.

Basically, you can install a PDF driver so that you can print to PDF from any application. After you have installed it, you should see the new driver as an optional printer in your print dialogue (for example from MS Word or from Internet Explorer).

Then you print the report from Velvet Singer and choose the new print driver instead of your normal printer. That will allow you to save the report as a PDF. Then you can attach the report to an email.

“PrimoPDF” is the way to go. Check out this short video on CNet. It will give you a good idea of why this print driver is the best:

Westminster Courseware – Analysis for Success

Masters students at Westminster Choir College are at a great advantage. Among many other fantastic course offerings which help prepare singers to quickly transition into professional realms, one course at Westminster focuses on the traditional gateway into operatic performance: The Audition.

Laura Brooks Rice’s graduate-level course “Opera Auditions: Preparation and Techniques” offers Voice Pedagogy and Performance majors the opportunity to refine this core element of our craft. Singers explore new repertoire and work to polish their audition presentation.

Ms. Rice brings in top-tier guest artists on a weekly basis to provide feedback. After leaving graduate school, feedback of this type and quality is so difficult (and expensive) to generate.

The course also focuses on process. Few students will leave the class with a flawless package of five arias ready to win The Met Competition. In addition to solving specific issues and making dramatic improvements, the purpose of the course is to teach a process for refinement, so that the singers are properly equipped for the journey ahead.

That is where Velvet Singer Software steps in. Ms. Rice delivers homework assignments that students can accomplish by the use of Velvet Singer. In this way, she leverages their efforts so that they not only learn about the here and now, but they also develop a process for the future.

Rather than creating a list of past auditions and current repertoire, with Velvet Singer the students develop a powerful method and skill set for tracking their auditions and repertoire far into the future.

What power? What is the key benefit?

A large part of the benefit to students occurs during the data entry process. Simply taking the time to make sure all of the boxes are checked makes a giant impact. Being deliberate about journaling what you performed and how you felt is certainly over half the battle. By the time it comes to look back on your journey and plan out where you want to go, you will have a simplified and clearer vision for the future.

Reporting and analysis illuminates what intuition and feedback cannot. The best predictor of future behavior is past behavior. You have to create a clean, objective look into where you have been before you can plan where you are going.

What is your most effective aria?

This report gives students tangible insight in which aria or song has worked the best in the past. “Win” or “Loss” is determined by the status of the audition record. If your audition status is set to “Contract Offered” or “Contract Accepted”, then that audition was a win. In an academic setting, a contract may be to sing a solo with your school choir (at Westminster, that solo may be at Carnegie Hall!) or to perform a role in the opera.

Are your auditions improving?

This report show how many auditions you have been singing over each audition season and whether your outcomes are improving. Auditions take time and energy, so it is not enough for a singer to solely focus on whether or not they have projects to work on. If you are getting work, how much effort did it take for you to generate that work.

Who are you singing for?

There are several ways to analyze who you are singing for and what success you are seeing. This report breaks down your auditions by company budget level. This can be very helpful for those that are starting to target opera young artist programs.

Westminster Gathers A Crowd

Earlier this month, we kicked off our east coast seminar tour at Westminster Choir College. Everyone got involved to make sure that this seminar was a huge success. It was amazing to see the voice faculty (represented by Laura Brooks Rice), career services (represented by Joanne Lisa) and the office of the dean take such a large interest in what we were doing. They gathered quite a crowd of undergrads, masters students, alumni and faculty.

Velvet Singer SeminarMore important than the size of the session was the buzz that attendees felt going in. The atmosphere determines so much of what singers get out of the seminar, and Velvet Singer presenters only have so much control. When the singers arrive early to find school photographers snapping pictures and a flawless multimedia setup, the singers put on their thinking caps and get ready to be challenged.

Students at Westminster Choir College seem to possess a healthy sense of idealism and optimism. They generally feel fairly well-equipped for the real world and confident about their abilities to contribute. Their perspective also helped make this seminar unique. We stepped through our usual exercises to help brainstorm singing opportunities and they were very quick to offer creative possibilities.

What are you going to do differently?

These singers also seemed to have a very good sense of their priorities and goals. From Dissonance To Harmony challenges each participant to not only identify their top career priorities, but also to boil those down into a set of goals. Priority categories include:

This group’s action items were some of the best of any seminar I have ever given. Singers really understood the value of moving 1) from priorities 2) to goals and then 3) to action items. It is not enough to stop working at a list of goals. What are the simple, tangible, concrete things you are going to differently as a result of this seminar?

Certified Instructor Program Launched

This seminar also represented a major milestone for Velvet Singer, LLC. This was our first seminar to incorporate the help of a Velvet Singer Certified Instructor, Mezzo Soprano Danielle Wright. Danielle introduced the concept of action items and prepared the singers that their proclamations should be:

  3. Specific
  4. Actionable

Maybe Danielle is also part of the reason that this seminar’s action items were among the best!

Webinar This Summer

Westminster College of the Arts’ Executive Director Scott Hoerl also shared some of his day with us. He has been instrumental in developing a series of Webinars for students and alumni and Velvet Singer is thrilled to become a part of this series starting in the summer of 2011 through The CoOPERAtive Program.
